Create Pods (pair tutors & students)

Creating pods is the final step to set up your program. You can create different pods for every day of the week, giving you flexibility to plan for blended learning and other special schedules. Once this is set up, sessions will be created automatically.

  1. In order to Create Pods, a program needs to be set up.
    1. Upload rosters or add students and tutors to a program.
    2. Make sure the students have a tutoring period selected.
    3. Make sure tutors have been assigned to tutoring periods in program setup.
  2. Start by selecting the Pods icon on the Sessions tab.

  1. By default you will see the Sessions view of Pods.

  1. Click Default Groupings to setup tutor-student pairings in Pods.

  1. Select the Period and day of the week.

  1. Drag Available Students to a pod to assign them to the tutor.
    1. Auto assign students can also be used to randomly assign students to pods.

  1. Continue to assign all "Available Students" for all days of the weeks and periods to build the Default Groupings.
    1. Note: if available students do not appear, make sure students are assigned to the period from the Rosters tab
  2. Once completed, press refresh in the browser and then navigate back to the Pods Sessions view to see the sessions for each day and period for the current date and future dates.

Modifying Pods

Pods can be modified at either the Default Groupings level to change groupings going forward or from the Pods Sessions sub-tab for a specific day and period.

If an auto-generated session has been modified (change to students or tutor, title change, content added, notes added, time or date changed) or the session has been launched, the slug's border color in Upcoming Sessions will turn to blue on the left.

IMPORTANT: Please note that if any changes are made to the default groupings in Pods or changes are made to the bell/tutoring schedule to adjust times, these changes will only impact the white sessions. Blue sessions will need to be changed manually if the change should affect them too.
